Guidelines
If you are an active participant of WFSBP, please read through this page carefully as it includes all relevant information regarding your presentation and/or your poster.
Guidelines for session speakers and FC author
Important facts:
- Presentation time: Each Free Communication (FC) should be a roughly 10-minute lecture followed by a 3-minute discussion (depending on the amount of speakers in your session)
- As a speaker in a symposium, your presentation time depends on the amount of colleagues who will present with you. Your chairperson will advise further
- Each meeting room will be equipped with a notebook and a data projector for PowerPoint presentations. There will be no possibility to connect your personal notebook in the lecture room.
- Last-minute changes in your presentation can only be made in the Speakers’ Center. No changes can be made in the lecture rooms.

Preparation of your PowerPoint presentation:
- The format for presentations is 16:9.
- Store all your files in one folder. Please make sure that the videos and your presentation are all in the same folder.
- Avoid creating symbols as graphics or using special fonts that are external to your Microsoft PowerPoint or word processing programme since these might be displayed incorrectly.
- If using fonts within the presentation which are not installed on a standard MS Windows 11 computer with MS Office 365, these fonts should be saved as embedded fonts within the final version of the presentation.
- Colours: Use light-coloured fonts for texts on dark backgrounds or vice versa. A strong contrast is important for good legibility.
- Movies should be embedded within a PowerPoint presentation (so that they are part of the PPTX file). Linked movies (mostly in PPT) should be saved as external files to the same folder which also contains the presentation file. Please make sure that a standard Windows 10 computer can play those videos.
- The most common video formats are supported: AVI, MP4, M4V, MOV, MPG, and Windows WMV. The perfect video is a H.264 video in MOV or MP4 format
- Microsoft PowerPoint (up to Microsoft 365) versions for PC can be used. The following presentation formats cannot be handled or uploaded: Prezi and Apple Keynote. Please be aware that presentations made on Macs generally do not run properly on PCs. Please visit the Speakers’ Center to check for incompatibilities.
- Please note that all speakers are expected to disclose any conflicts of interest on a PowerPoint slide to be shown at the beginning of the presentation.

Guidelines for Chairpersons
- Please introduce each speaker with full name prior to his/her presentation.
- You are kindly requested to respect and keep within the time schedule of your session.
- Please take care that each speakers keeps the time for his or her talk as exceeding the time for one talk puts the following speakers at a disadvantage and shortens the time for questions and discussion.
- Please foresee time for questions and a short discussion after each talk if not otherwise indicated in the session schedule.
- Our congress staff allocated to each hall are at your disposal. If you have any questions or requests, please approach the hall manager.
Guidelines for Poster Presenters
During the congress, we will have 2 poster sessions. The sessions will be held in the Pre-Function Area:
· 28.08.2026, 18:30–20:00
· 29.08.2026, 18:00–19:30
These sessions offer an effective forum for the exchange of information and a means to communicate ideas, research, and programmes. Poster authors are required to be available for questions and further information at their poster board during both Poster Sessions.
Poster number
At this congress, posters will be grouped by topic for the convenience of those attending the sessions and numbered within their respective topic. The poster exhibition is open during regular congress hours.
As an example, Poster Session P-A-005: P = poster, A= session, 005 = abstract.
Mounting and removal of posters
· Mounting: Please hang your poster till 28.08.2026 by 12:00
· Removal: Please take your poster down by 30.08 14:00
Posters that have not been taken off at 14:00 will be disposed of.
Poster format
The entire poster can have a maximum size of 225 cm high x 100 cm wide (PORTRAIT style, see image below). The poster does not necessarily have to fill the entire working area.
We recommend using DIN A0 portrait style (118,9 cm high x 84,1 cm wide).
Material to attach the posters to the poster walls is available at the poster counter in the poster area. We strongly recommend light paper posters rather than fabric or heavy weight paper posters, to make sure that posters don’t come off the walls.
For the font of your poster, it is recommended to use large, semi-bold letters, at least 5 mm high. The text should be easily legible from 2 - 3 m.
Poster authors are requested to disclose potential conflicts of interest regarding the poster presentation at the bottom of their poster. This will allow the audience to take potential conflicts of interest into account when assessing the objectivity of the poster.
Our staff at the poster counter will be happy to answer any questions you might have.

Printing
Please note that neither the congress centre nor the organisers provide printing services. We kindly ask you to either bring your poster with you or arrange printing at a local copy shop in Hamburg.
